OFX states that sufficient funds are needed to cover spending, so a corporate-card label should not be interpreted as a promise of an unsecured credit line. For a finance team, the first decision is who or what each card should represent. A card assigned to a traveling employee and a card assigned to a recurring software expense create different responsibilities.
Match the card to an accountable owner
Start with the expense and the person responsible for it. A recurring subscription should have an owner who knows whether the service remains needed. An employee card should have a defined business purpose and someone responsible for reviewing supporting evidence.

Those controls are useful only when the business knows which expense each card supports. Issuing a separate card without recording its purpose can create more records without improving accountability.
A practical internal register can contain the owner, approved purpose, expected spending pattern, renewal date, and reviewer. These are suggested governance fields, not a list of mandatory OFX inputs.
Understand the currency selected at purchase
OFX says its card draws from a sufficient balance in the purchase currency. Where that currency is not held or the relevant balance is insufficient, the provider describes automatic conversion from USD. Corporate Card currency handling
That means the cost analysis depends partly on what the business already holds. A purchase covered by an existing euro balance is not the same currency event as a purchase that requires conversion from dollars.

Set a limit that reflects the job
An employee traveling for three days needs a spending arrangement suited to that trip. A software subscription needs a limit suited to the approved service and expected billing pattern. Using the same broad limit for both avoids configuration work but weakens the information the limit communicates.
Consider a hypothetical company with separate cards for design software, advertising, and travel. The advantage is not merely three card numbers. It is the ability to identify the responsible owner and expected spending pattern for each expense.
Decide how changes are approved. If a subscription price increases or a trip is extended, the business should know who can authorize the change and where the decision is recorded.
Keep evidence separate from authorization
A permitted card transaction does not explain the business purpose of the purchase. The review still needs appropriate evidence and accounting treatment.
A receipt can establish what was purchased, while the spending policy establishes whether it was authorized. Missing evidence should not automatically be treated as proof of misuse, but someone needs responsibility for resolving it.

Close the expense relationship as well as the card
When an employee leaves or a service is no longer needed, review the associated cards, supplier account, subscription agreement, and outstanding transactions.
Locking or canceling a payment card is not, by itself, a complete subscription-cancellation procedure. Check the supplier’s cancellation terms and preserve confirmation of the service change. Otherwise, the payment method may be disabled while the underlying obligation remains disputed or unresolved.
